Licensing

There are 2 ways to use Microsoft Dynamics CRM 4.0:

  •  “General” way: the system is installed into the company’s IT-infrastructure on its own servers;
  • Hosting or rental way: the system is installed at the service provider’s resources; the company employees have constant access to the system.

You can switch between these 2 ways if necessary and easily to transfer you data and system setup.

In case of hosting licensing it is necessary to pay regularly for the user access according to the number of users. During the high product demand it is advisable to extend the number of sales managers that will get the system access. During the low demand you can decrease this number of users thus minimizing your expenses.

In case you choose to install the software on your own resources you will have to by server and client (user) licenses. The number of server licenses is defined by the number of servers where Microsoft Dynamics CRM 4.0 will be installed; the number of user licenses equals the number of users and / or devices (computers) in the network that must have the system access. In this case the number of all users and / or devices should be calculated, not the number of concurrent users. For example, if you have five marketing managers with constant system access and the head of marketing who analyzes the efficiency of his department once a day, you will have to buy six user licenses.

Server licenses

There are 3 editions of Microsoft Dynamics CRM 4.0 server licenses: Workgroup, Professional è Enterprise. From the functional viewpoint these licenses are identical. They differ in the licensing and software distribution policy.

  • Workgroup edition supports the work of not more than 5 users; the price of five user licenses is included into the price of the server license.
  • Professional edition does not have limitations regarding the number of users. The number of users is defined by the number of client licenses (as well as by the server capacity).
  • Enterprise edition does not have limitations regarding the number of users. Besides, it allows several independent installations of Microsoft Dynamics CRM 4.0 on one server to be used by different companies or by the departments of one company. For example, one instance is used for marketing management, sales and customer services; the second instance is used by the internal service department. The Enterprise edition also provides a more flexible management of server workloads by defining the so-called server roles.

Customer licenses

There are 2 types of customer licenses: user licenses and device licenses.

  • The user license allows one and the same user to access the system from different devices (computers), e.g. his personal notebook, smartphone or a computer in an internet cafe.
  • The device license allows an unlimited number of users to access the system from one and the same device (computer). This way is suitable, e.g. for call centers with several shifts.

The user and device licenses can be used simultaneously with one Microsoft Dynamics CRM instance.
For those employees who only view the data without modifying them it is advisable to use the read only licenses. They may be user or device licenses. The full access and read only licenses can be used simultaneously with one Microsoft Dynamics CRM instance.

In order to provide access for external users (e.g., customers, partners, vendors), a special External Connector license should be used. This license provides the possibility to use Microsoft Dynamics data for an unlimited number of external users within one external application (e.g. internet portal).

Access to Microsoft Dynamics CRM data or functions from another application (e.g., via a corporate portal integrated with Microsoft Dynamics CRM) is called multiplexing. In case of multiplexing the user and / or device licenses are obligatory. User licenses are required for internal users; External Connector is required for external users (if they do not use Microsoft Dynamics CRM web-client or Microsoft Dynamics CRM client for Microsoft Outlook); user licenses are required if the external users use the aforesaid applications.
